EDISON COMMUNITY COLLEGE

Information Systems Policy

Edison Community College makes available computing, communication, and information system resources to its students at its discretion and for the sole purpose of furthering the stated mission of the college. Edison Community College provides learning opportunities that enable and empower citizens, commerce, and communities in Darke, Miami, and Shelby counties.”  Use of these resources for other purposes is not authorized under the Information Systems Policy.

 

  1. The use of the computer facilities is granted to the undersigned only.  The undersigned shall not allow another person to use his or her user name and password. 
  2. The College’s computing resources including, but not limited to the college network, Datatel, WebAdvisor, Blackboard, and other online/distance learning, and electronic communication shall be used for academic and educational purposes only.  Such uses include, but are not limited to, coursework, independent research, self-teaching projects, course management, work for campus organizations, and personal correspondence. 
  3. Employee access to the college’s information system resources (Datatel and WebAdvisor) shall be issued only upon written request by the immediate supervisor.  Such requests shall be submitted to Administrative Computing, and shall include the specific information system security, access and functions to which the employee is permitted for performance of employment responsibilities.  Information obtained during the performance of employment is considered confidential, and shall not be released outside the college unless as specified by federal and state laws or by college policy.
  4. The computer facilities shall not be used to support any commercial or non-profit organization.  Such prohibited uses include, but are not limited to, any work undertaken to support any company, institution, or organization, whether for pay or on a volunteer basis, and the development of software intended for sale or license.
  5. All software shall be used only in accordance with its license agreement. All users agree to use the software according to the provisions of the license agreements.  No user shall make unauthorized copies of software under any circumstances.  Edison Community College will not tolerate the use of illegal software copies found on its computers.  Anyone found copying software other than for backup of archival purposes is subject to disciplinary action, and may be subject to civil and criminal penalties up to $ 250,000 per work copied and/or expulsion from the College.
  6. Users shall not use the College’s computing resources for any illegal purpose.  Unauthorized copying of commercial software is illegal.  The unauthorized copying of licensed software programs is a violation of applicable laws, and may subject an individual to legal action.  Intentional damage to hardware, software, security devices or codes; password theft; etc., is an infringement on the rights of others and limits the College’s ability to provide adequate computing services to all members of the Edison community. 
  7. Users shall respect the rights of other members of the College community and of the larger Internet community.  Actions such as the unauthorized reading, copying, or modification of someone else’s computer violates that person’s right to privacy.  Other actions, including electronic harassment, personal abuse, obscene messages, mass mailings, chain letters, etc., infringe on the rights of others and thereby limit the College’s ability to provide adequate computing services to all members of Edison’s community.  Viewing sexually explicit material on Edison computers violates the “Sexual Harassment Policy”.
  8. Information Services is NOT responsible for personal files stored on the hard drives in classrooms or in offices.  Users are responsible for saving personal files onto their own removable storage media.  The classroom hard disks are cleaned up on a regular basis and extraneous files are overwritten.  Disk storage for your Exchange email account is limited; please respect this limit.  If you need more space for a special project, please contact Information Services.  The College accepts No Responsibility for any damage to or loss of data arising from directly from or incidental to the use of these facilities, or any consequential loss or damage there from.  The College makes representation of No Warranty, express or implied, regarding the computing services offered, or their fitness for any particular use or purpose.
  9. ELECTRONIC COMMUNICATIONS PRIVACY ACT NOTICE:  The Electronic Communications Privacy Act (ECPA) requires that we notify you if we do not offer the privacy of email and files accorded paper mail.  YOU ARE SO NOTIFIED.  Also, as Edison Community College is a public institution in the state of Ohio, we are subject to an Open Document Policy under the proper authority and restrictions.  Although we tend to be sticklers for privacy, you should assume that any email or other communications may be seen by others, either because of software problems or because we must reserve the right to examine any file on the system if we feel it is necessary.  We will go to extremes to protect your privacy and will not disclose any information we may see by reading private communications.  If we see evidence of illegal activity being conducted through this system, we will take all steps possible to stop it, up to and including involving law enforcement.  If you require greater privacy, put it on paper, place it in an envelope, and attach a stamp.

You implicitly acknowledge, by continued system use, your agreement to comply with all published policies governing the use of this system.

 

You also agree to read all future system “news” messages containing the word “policy,” since these also contain information announcing specific policy changes which are of substance.

 

I have read and understand the provisions, academic policy, and legal restrictions.  I further understand that the use of these facilities and printing is a privilege, not a right, and that if the terms of this agreement are violated, the College may issue a warning, deny access to computing resources, refer for prosecution, or administer other penalties, depending on the nature of the infraction.
